1. Searching for Calls and Partners
- Unless the call specifies otherwise, the project is submitted by a consortium of at least 3 institutions from at least 3 countries - only EU countries, associated countries, and low-income countries are eligible for financial support. (Exceptions include individual grants such as ERC and MSCA.)
- When reading a call, focus on both the scope and expected outcomes. In your project proposal, do not omit any of the expected outcomes, as the evaluation committee only looks for project proposals that completely cover all expectations of the given call.
- All current calls can be found on the EU Funding and Tenders Portal. Calls can be filtered by programme, deadline, or keywords.
- To find project partners, you can use Partner search announcements, which are part of each call on the EU Funding and Tenders Portal. Through these, you can either request or offer specific expertise suitable for the given call.
- An important part of finding project partners is networking. For this very reason exist brokerage events and info days for each cluster (HE Pillar II), the Czech Liaison Office for Education and Research (CZELO) in Brussels, or National Contact Points (NCPs) under the Technology Centre of the Czech Academy of Sciences.
2. Application Preparation
- Your project proposal must not only be scientifically sound and well-founded, but also readable and comprehensible. Overly dry or cumbersome text will get lost among other proposals. Here too, applicants must be able to "sell" their proposal.
- European grants are funded using three different methods: lump sum, actual cost, and unit cost. Lump sum funding requires a detailed budget in the proposal stage, but you do not need to provide accounting documentation during or at the end of the project. Actual costs funding requires a somewhat less detailed budget proposal, but you need to report all project expenditures, based on which you will receive the grant sum. Unit costs funding is used, for example, in MSCA Postdoctoral Fellowships and means that the applicant receives a flat-rate sum based on the duration and location of their mobility.
- When preparing a budget proposal, do not use current prices of labour, services, or materials. Think ahead about inflation, salary increases, or the possible need to pay for an audit (i.e. certificate on the financial statements).
- Grant applications also include questions on the ethical and gender dimensions of your project. Describing the gender dimension sufficiently is one of the award criteria. This means that without it your application becomes ineligible and will not be evaluated at all. Even if the gender dimension is not relevant in your project, it is necessary to describe why this is the case.
- Do not upload your project application on the last day. If the system is overloaded or crashes and your application is not submitted by the deadline, it will not be accepted afterwards. Even an application uploaded several days in advance can still be modified and edited, so there is no reason to leave it to the last minute.
3. Application Evaluation
- Each project proposal is evaluated on three criteria: excellence, impact, and implementation. For the proposal to be successful, it must obtain at least 3 points out of 5 in each criterion and at least 10 points out of 15 in total.
- The Excellence criterion evaluates how ambitious the project proposal is, what methodology it proposes, and what it aims to achieve. The Impact criterion focuses on the project's potential to achieve these objectives and on its societal and economic contributions. The Implementation criterion evaluates the feasibility of the project within the set timeframe while using the proposed methodology, the quality of the project team, and the overall project plan.
- The budget evaluation does not receive any points, but it factors into the overall eligibility of the project proposal. The evaluation committee may reduce the project budget in justified cases.
