Emergency line is a service that was established for the purpose of providing assistance to participants of mobilities abroad (i.e. USB students and employees who are on a study or work stay abroad) in solving crisis situations (CS) related to foreign mobility, especially during non-standard working hours, i.e. in 24/7 mode.

You can contact the emergency line in the following situations:

  • you become a victim of a serious crime (assault/rape, disappearance, kidnapping, serious injury, death, etc.)
  • there will be a serious deterioration of the mental state or a suicide attempt of the mobility participant
  • natural/anthropogenic crisis in the place of residence (large-scale natural disasters, mass infections, large-scale accidents, political/social crisis, war conflict, deterioration of the security situation, terrorism, etc.)

The emergency line support system does not cover other situations, e.g. common health problems, loss/stolen documents, personal belongings or finances, financial crisis, visa advice, employment law issues, court proceedings due to the commission of a misdemeanor/criminal act, etc.

In these cases, contact the relevant state administration authorities or departments of the University of South Bohemia:

  • Loss/theft of documents, personal belongings or finances - Police at the place of your stay abroad
  • Financial crisis - if it is related to the payment of scholarships, please contact the relevant department of the faculty/rectorate
  • Travel advice, visa advice - Ministry of Foreign Affairs of the Czech Republic
  • Vaccination abroad: State Institute of Health
  • Labor law issues – relevant personnel department of the rectorate/faculty
  • Common health problems - medical facilities according to the current place of residence (contact your insurance company first)

How to proceed when leaving for Erasmus+ mobility
  1. An employee who received a notification from the faculty coordinator that he was selected as part of the selection process and his mobility was approved, contacts the receiving university - sends them a draft of the Mobility Agreement (MA) according to the type of activity (STA - teaching, STT - training), he/she confirms with them the program and dates of his/her work activities. The receiving institution confirmed by signature that it agrees with the arrival. The document is circulating in scanned form.
  2. The employee sends the Mobility Agreement to his/her faculty coordinator (with his/her signature and the signature of the receiving institution). The employee also fills in and signs the participant Grant Agreement (GA) and sends it in two copies to the faculty coordinator. The faculty coordinator signs the GA on behalf of the sending faculty, checks the MA and sends both documents (GA and MA) to the International Office of the Rectorate. If an employee is traveling by air and needs to secure a ticket, he/she will ask the faculty coordinator to arrange with the International office to order a ticket for the desired date and destination.   3. International office confirms the MA in both copies. One copy of the MA is then sent back to the faculty coordinator, the other is registered in the central register of mobilities of the Erasmus+ program.
  4. Preferably min 14 days before departure, the employee fills out a travel order according to the type of his trip (STA - teaching, STT - training), has it signed by his superiors and hands it over to the faculty coordinator. At the same time, he sends or announces the required date for collecting the deposit. If he does not ask for a deposit, he will announce this fact. The faculty coordinator will send these documents to the International Office for the preparation of the deposit.
  5. International Office approves the travel order and issues a Request for issuing a deposit within the required date.
  6. The employee collects the deposit at the rector's cash desk during opening hours.
  7. On the last day of the mobility at the receiving institution, the employee requests a confirmation of his/her work activities by signature and stamp ("Confirmation" form).
  8. After returning from mobility, the employee shall deliver to the faculty coordinator a confirmation of his work performance at a foreign university. The original must be handed over to the International Office and a copy to the Department of Economics within 1 week together with the rest of the documents (filled out travel order including all receipts).
  9. The employee completes the final report no later than 30 days after the end of mobility - an automatically generated link from the Moblity Tool+ system (EU Survey) will be delivered to his/her e-mail.
  10. In case of very good or bad mobility experiences, the employee informs the International Office about this situation, preferably in writing.
  11. The employee spreads examples of good practice and his professional experience, knowledge and skills from abroad among his colleagues and USB students.
